QR Codes for Small Businesses: UPI, WhatsApp and Wi-Fi Setup and Safety Tips

A printed QR code on the counter can save a shopkeeper a lot of typing and explaining. Customers scan once and pay, message or connect. QR codes are also an easy target for scams, so it pays to set them up carefully. This guide covers three common uses, UPI payments, WhatsApp chats and guest Wi-Fi, along with the limits of the free static codes and how to avoid mistakes.

UPI payment QR for the counter

A UPI QR code carries your UPI ID, your name and, optionally, a fixed amount and note. When a customer scans it, their UPI app fills in the payment details. To create one, enter your UPI ID and payee name in the UPI QR Code generator, leave the amount empty if it changes with every customer, and download the picture.

  • Check the UPI ID letter by letter. A single mistake sends money elsewhere or makes the scan fail.
  • Scan your own code with a UPI app, stop before paying, and confirm that the payee name shown is the one you expect.
  • Add an amount only for a fixed fee, such as a class fee or a service charge.
  • This tool only creates the code. It does not confirm payments. Rely on your bank or UPI app for payment alerts.

WhatsApp chat QR for enquiries

A WhatsApp QR code opens a chat with your number and an optional ready message. It works well on posters, bills and visiting cards. Use the WhatsApp QR Code generator with the number in full international format and digits only, such as 91 followed by your 10-digit mobile number. A short message like “Hi, I want to know the price of …” helps you understand what each customer wants. Remember that anyone who scans the code can see your number, so use a number you are happy to share publicly.

Guest Wi-Fi QR

A Wi-Fi QR code lets guests join your network without typing a long password. The Wi-Fi QR Code generator needs the exact network name, the password and the security type, which is WPA/WPA2 for most networks. Two cautions apply. First, the password is stored inside the code, so anyone with the picture can read it, and you should not post the code publicly for a private network. Second, if you change the password later, the printed code stops working. A separate guest network with its own password is the safest choice for shops and offices.

What a static QR code cannot do

The free codes made on PraxTools are static. The information is stored in the image itself, which means:

  • You cannot edit it after printing. If a link, number or UPI ID changes, you must create and print a new code.
  • You cannot see how many people scanned it.
  • It does not expire and does not depend on a server, so it keeps working as long as the picture is readable.

If you need tracking or editable destinations, you would need a dynamic QR service, which is a different kind of product.

Printing and placing the code

  • Keep strong contrast, such as dark code on a white background. Avoid inverted or low-contrast colours.
  • Print at least about 2 × 2 cm for close scanning and larger for posters or signs. A common rule is that the scanning distance should be no more than about ten times the code width.
  • Leave empty space around the code and do not crop its border.
  • If you add a logo, keep it small and test the finished code. A logo that is too large can stop scanning.
  • Test with at least two different phones.

Staying safe from QR scams

  • Scanning never receives money. If someone asks you to scan a code or enter your UPI PIN to “receive” a payment, it is a scam.
  • Check the payee name before you pay. Fraudsters sometimes paste their own code over a real one.
  • Keep your own counter code where it cannot be covered, and look at it now and then.
  • Read the link that a scanner shows before opening it, and do not enter passwords or OTPs on a site you do not trust.

Frequently asked questions

Is a free UPI QR code safe to use?

The code only holds the payment details you enter. Check the UPI ID and the payee name before you print it, and rely on your bank or UPI app for payment confirmation.

Can I use one QR code for UPI, WhatsApp and Wi-Fi?

No. Each QR code holds one thing. Make a separate code for each purpose and label it clearly.

Why does my QR code not scan?

Common causes are low contrast, a code printed too small, a logo that is too big, or a typing mistake in the details. Test it with another phone and a larger print.

Do QR codes expire?

Static codes do not expire. A code that points to a web page works only while the page stays online.
